MarineCFO Integrates Document Management System for Onboard Use

Maritime Activity Reports, Inc.

January 12, 2016

MarineCFO has announced the availability of its newly developed Marine Document Management System (MDMS), designed specifically as a tool to assist marine operators in organizing recordkeeping, assessment, & training verification requirements both ashore and afloat.

“Implementing the MDMS has taken some heavy lifting on our part”, said Dean Shoultz, MarineCFO Chief Technology Officer, “but the environment of ever changing regulations, policies, and procedures in the marine industry made this application a must have for responsible marine operators. Our investment into MDMS is well worth the effort.”

According to Shoultz, MDMS provides afloat personnel, DPAs and Marine Operations Managers a transparent and easy to use platform for the creation, organization, dissemination, and editing of various file types (Word, PDF, WMV, JPEG) for both shoreside and fleetwide reference.  Risk Assessments, ISPS Documents, Company Reference Materials (policies, procedures, forms), MARPOL Documents, Training Modules, Vessel Operations Manuals, and Vessel Specific Tech Libraries can be managed by the Marine Operations Department with appropriate access privileges granted to afloat personnel.   Document distribution can be targeted fleetwide or specific vessels. MDMS features include document versioning, vessel notification of document change occurrences, and highlighting of document changes.  Through a MDMS generated vessel acknowledgment receipt of new or modified documents onboard users are prompted top conducted appropriate training and verify the completion of that training via MDMS.

“The MDMS features most widely sought after by vessel and support staff are the versioning and validation of document change," Pat Folan of Tug & Barge Solutions suggested, “from an auditor’s perspective those same features create a snapshot of the company’s culture of safety which generally will lead to a positive auditing review.”

“Complementing MDMS is MarineCFO’s enhanced EDI capability providing marine operators an automated and timely way to share information with customers, vendors, and trading partners," Shoultz added, “the information to be shared is definable and secure, and can be used to notify customers of key events, such as barge pickups and drops, delays, incidents, ETA, ETC, SOF, invoices, purchases, and more. The format of outgoing and incoming packages can be configured to use a wide variety of marine industry standards and protocols.”

MarineCFO is currently seeking inland, coastal, and OSV partners willing to BETA the MDMS as part of the onboard Vessel Live ! application.
